The Space Dynamics Laboratory (SDL) is seeking a highly organized Conference Support Specialist to aid in the planning, coordination and execution of a large annual conference held at Utah State University August 3-8, 2024. This position is 30 hours p/week up to full time in the weeks leading up to the Conference with overtime hours during the Conference.

Responsibilities:

  • Populating and updating the Conference Mobile App
  • Putting together slide shows and sponsor videos
  • Coordinating and sharing digital files with Utah State and Magic Productions
  • Assisting with management of sponsor inserts and setup for packet stuffing
  • Assist with ordering signage and coordinating placement on-site at the Conference
  • Coordinate Side Meeting and Private Meetings during the Conference
  • Assisting with conference set-up and take-down
  • Additional Office duties as assigned

Requirements:
  • Must be willing to work some non-standard hours, including some evenings and weekends (including the occasional Sunday)
  • Excellent Microsoft Office Skills (Word, Excel, PowerPoint, Outlook)
  • Strong attention to detail, and high organizational skills
  • Excellent problem solving and forecasting
  • Ability to work well under pressure and negotiate tense situations while maintaining a calm and professional presence
  • Ability to work with a high level of initiative, self-motivation and a positive demeanor
  • Ability to work independently and as part of a team
  • Ability to manage and complete multiple projects and deadlines simultaneously
  • Ability to communicate effectively in a clear and concise way (verbal and written)
  • Excellent interpersonal communication skills including the ability to foster effective working relationships with supervisor, coworkers, clients and customers
     
Preferred Qualifications:
  • Working knowledge and experience with the concepts, principles and practices of event planning
  • Ability to research market trends, demographics, pricing strategies, competitors and other relevant information to support the event delivery
  • Experience with graphic design and video software
